Most organizations pursuing facility or asset management software are after a few core outcomes: centralizing asset lifecycle management, shifting from reactive to predictive maintenance, minimizing costly downtime, and eventually layering in energy management, space utilization, and chargeback cost allocation. Regulatory and safety compliance is often a driver too, whether that’s tracking elevator inspection certificates or meeting the conditions tied to grant-funded equipment.<\/p>

Underneath nearly all of it is one recurring theme: getting away from paper. Paper slows everything down, gets lost, and, even when retention policies require it be kept, tends to pile up in filing cabinets in a form that’s nearly useless for reporting. The goal is connecting the dots between an asset’s lifecycle, its maintenance history, and its cost to operate, all in one accessible place, so decisions about repair, replacement, and compliance can actually be made with data rather than guesswork.<\/p>

It’s also worth noting that no single system necessarily needs to solve everything. Many organizations end up in a “best of breed” situation, integrating a handful of targeted solutions rather than committing to one platform that does it all, and that’s a legitimate strategy as long as the systems are chosen and phased in deliberately, with each step justified by its own return.<\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t

When building a return-on-investment case, four categories tend to capture most of the value:<\/p>

  1. Operational efficiency.<\/strong> This covers automating work orders, standardizing preventive maintenance, and reducing the time it takes to assign and complete work. Metrics worth tracking include time-to-assign, time-to-complete, first-time fix rate (are you getting “comebacks” on repairs?), and backlog size. Practical initiatives include a central work order system, automated assignment routing based on trade or skill set, and mobilizing the workforce so field staff can complete everything (inspections, work orders, notes) on a tablet instead of paper.<\/li>
  2. Reliability and longevity of assets.<\/strong> The objective here is maximizing asset lifecycle through better data: tracking mean time between failures, mean time to repair, and part turnover or obsolescence. A striking example: an ice arena operation was doing rigorous daily equipment checks on paper, three times a day, but the data just accumulated in filing cabinets. It took an offhand comment from a maintenance worker, noting that a system now needed refilling with fluid every other week, up from every two weeks, to reveal a slow leak that had gone undetected for a long time. By the time anyone noticed the trend, the fix required a complete system overhaul rather than a simple, proactive repair. Electronic data capture with visible reporting would have surfaced that trend long before it became expensive.<\/li>
  3. Energy and space.<\/strong> This driver looks at metering, climate control automation, and space utilization \u2014 recognizing, for instance, that a cooling unit running 24\/7 in an emergency operations center needs a very different maintenance schedule than a similar unit in a library open nine hours a day, five or six days a week.<\/li>
  4. Compliance.<\/strong> This includes obtaining and tracking required certifications (fire safety tags, elevator operation certificates), maintaining safety and risk management protocols, and following data retention and access policies \u2014 which can vary significantly even within a single organization, since different departments may have different legal retention requirements for the same category of data.<\/li><\/ol>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t

    At a basic level, ROI is calculated by comparing costs against savings over a defined time horizon \u2014 often three to five years.<\/p>

    Costs<\/strong> break into three categories: capital outlays (software licensing, hardware, sensors), non-capital implementation costs (consultants, training, internal staff time spent on data cleanup and inventory), and ongoing operational costs (annual licensing or hosting fees, IT support, internal administrative time).<\/p>

    Savings<\/strong> typically come from labor efficiency, reduced downtime, extended asset lifecycles (a unit expected to last 20 years might realistically reach 25\u201330 with a strong preventive maintenance program), and reduced reliance on outside contractors.<\/p>

    One important practice: discount your savings estimates before presenting them. If a best-case scenario suggests $100,000 in annual savings, a more conservative and credible figure might apply a percentage of that best case, and a further discount for realistic likelihood of achieving it. Being conservative up front tends to make the numbers easier for decision-makers to trust \u2014 and if the actual results come in ahead of the discounted projection, that’s a stronger outcome than overpromising.<\/p>

    A real example illustrates why this discounting matters: a city evaluating a document management system found that staff were spending an estimated five full-time-equivalent positions’ worth of time manually retrieving paper permitting documents from a plan vault. That number seemed implausibly high to decision-makers, so it was presented at a discounted estimate of three FTEs instead. After implementation, the actual savings turned out to be much closer to the original, undiscounted number \u2014 but starting conservative made the business case easier to approve.<\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t

    One example involved a parks and recreation agency managing a large, varied portfolio: community parks, waterfronts, boat launches, a winter recreation facility, and eleven ice arenas. Their operations were heavily paper- and spreadsheet-driven, and maintenance history relied largely on institutional knowledge \u2014 the kind of information that walks out the door when a longtime employee retires.<\/p>

    The agency moved to a mobile-first approach: giving field staff tablets so they could generate and complete work orders on the spot, rather than waiting on paperwork. This shifted more responsibility and accountability to frontline staff and, critically, began generating consistent data for budgeting, asset replacement, and resource allocation decisions.<\/p>

    About seven or eight months post-launch, the agency was still in a shakeout phase but had already achieved meaningfully better visibility into operations and reporting \u2014 with plans to keep expanding functionality over time.<\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t

    Common Barriers to Realizing Full ROI<\/h2>\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t

    Two themes came up repeatedly as the biggest obstacles to capturing the full expected return:<\/p>

    Organizational willingness to change process.<\/strong> Software alone doesn’t generate savings \u2014 the savings come from actually changing how work gets assigned, how materials are purchased, and how workflows are automated. Resistance to that change limits the upside.<\/p>

    Data quality and granularity decisions.<\/strong> Organizations need to decide upfront how detailed their asset tracking will be \u2014 down to the level of every individual furnace or water heater, or aggregated at the building level. Getting buy-in isn’t just about the maintenance staff doing the work; it also requires support from other parts of the organization, like finance, so that data capture decisions aren’t second-guessed after the fact.<\/p>

    On the adoption side, the most effective strategy for getting staff to embrace a new system is involving them in its design from the start \u2014 building workflows that genuinely make their jobs easier, rather than adding extra steps. Staff are far more likely to stick with a new process that reduces friction than one that introduces it.<\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t
